LibreOffice on elementary OS for Everyday Office Work

LibreOffice gives elementary OS a complete office suite without requiring a separate commercial licence. Writer handles letters and reports, Calc covers budgets and payroll sheets, and Impress builds presentations; Draw, Base and Math fill in diagrams, databases and equations. The applications follow elementary’s clean desktop style, yet they open the Microsoft Office formats commonly used by clients and colleagues.

Australian users should configure the suite rather than accept every default. English (Australia) supplies local spellings such as “organise” and “licence” when used as a noun, while the regional locale affects dates, currency and number handling. A Canberra policy team, a small Melbourne retailer and a Brisbane trades business may all need A4 pages, DD/MM/YYYY dates, dollar values with a thousands separator, and invoices that apply the 10% GST.

LibreOffice can be installed from elementary’s AppCenter, the APT package system or Flatpak. The most important choice is not the icon that appears afterward, but which update path you will maintain. The following sections cover installation, document handling, compatible files and the habits that prevent lost work or compatibility surprises.

Choosing an installation route

Open AppCenter from the dock and search for LibreOffice. Check the listing’s publisher, source, permissions and update notes before selecting Install; AppCenter displays the package type used by that release. Guidance on the community AppCenter workflow explains how submitted applications are reviewed and can help you distinguish a recognised project from an unrelated listing. If an entry comes from Flatpak, permission details are particularly useful because the application runs inside a sandbox.

For users who prefer the terminal, APT provides direct integration with the rest of elementary OS. Update the package lists and install the individual applications so that no component is left out:

sudo apt update
sudo apt install libreoffice-writer libreoffice-calc libreoffice-impress libreoffice-draw libreoffice-base libreoffice-math

The dependencies pull in LibreOffice Core and the usual fonts and helpers. This route suits people who want the suite to behave like other system packages, particularly when managing installations through the standard software update process.

Flatpak is another solid option when your elementary OS release has Flathub configured:

flatpak install flathub org.libreoffice.LibreOffice

Flatpak keeps the application and most of its dependencies in a controlled environment, which can simplify isolation and rollback. Avoid installing the APT and Flatpak versions side by side unless you have a specific reason, as duplicate application entries, inconsistent default file associations and separate update histories can become confusing.

Setting up the first workspace

Launching LibreOffice opens the Start Center, where recent documents, templates and available modules are presented. Writer, Calc and Impress cover most daily work, while Draw supplies vector editing and Base provides database tools. The Sidebar can hold properties, styles, galleries and a document navigator, reducing the need to search through menu layers while formatting a file.

Open Tools, Options and visit Language Settings to choose English (Australia) as the document language. In Calc, set the locale to Australia as well so that decimal separators, date interpretation and currency display match local expectations. A value such as 04/03/2026 will then mean 4 March rather than 3 April. Select the Australian dollar and A$ where appropriate, using two decimal places for financial calculations and remembering that GST is 10% before adding it to an invoice.

Templates, personal dictionaries and backup settings belong in your user profile rather than in each document. Saving a frequently used letterhead or spreadsheet layout as a template reduces duplicated formatting, while automatic backup provides a recovery point after a crash. Keep important working files in a properly backed-up folder instead of relying solely on the temporary recovery location.

Writing and sharing documents

Writer provides familiar word-processing features alongside more advanced editorial tools. Paragraph styles such as Heading 1, Body Text and List Paragraph keep long reports consistent, and the Styles deck makes global changes easier than repeatedly selecting individual text. Comments support discussion with colleagues, while Track Changes records insertions, deletions and formatting revisions when a document needs formal review.

Choose the file format before sending work outside your organisation. Writer’s native format is ODF Text, with the .odt extension, while .docx is widely used by Australian government agencies, consultancies and small businesses. Select Word 2007–365 (.docx) in the Save As dialog when recipients are likely to edit the file in Microsoft Office. Simple documents exchange well, but an unsupported feature can still change appearance, so watch the compatibility warning and check the result in the recipient’s application.

PDF export creates a fixed-layout copy suitable for final distribution, printing or archiving. Select A4 rather than US Letter in the page style for Australian printing, confirm the margins, and preview before producing a large batch. Tagged PDF and accessibility options are worth checking when a public-sector document must meet accessibility requirements. Keep the editable source separately because a PDF is safer for viewing but less convenient for revisions.

Handling spreadsheets, slides, and data

Calc uses familiar cell references, formulas and named ranges. Enter values directly and use functions such as SUM, IF and VLOOKUP rather than calculating everything by hand. Conditional formatting can highlight overdue invoices or unusual expenditure, while charts turn a compact data table into a summary for a report. Freeze panes and filters help when a sales sheet grows beyond what fits comfortably on the screen.

CSV remains useful for importing data from older systems, but its lack of formatting metadata can change dates, remove leading zeroes or turn long numbers into scientific notation. Use the Text Import window to select a comma delimiter, UTF-8 encoding and the correct column types before accepting the preview. For Australian data, verify that day and month positions are unambiguous and format currency columns as Australian dollars. When a workbook contains formulas, charts or multiple sheets, exchange it as .xlsx rather than CSV.

Impress provides editable slides, master slides, speaker notes and image placement controls. Build a reusable master slide for an organisation’s colours and logo, then apply it to each presentation. Presentations destined for Microsoft Office should use the PowerPoint 2007–365 (.pptx) filter, while a PDF export gives recipients a dependable copy with fixed fonts and layout. Review the exported pages on another device, particularly when diagrams were built with unusual fonts.

Base can store simple contact lists or connect to external databases for structured reporting and mail merge. It is less common in daily office work, but useful when information is repeatedly copied between spreadsheets and letters. Draw handles diagrams, flowcharts and simple page-layout work, while Math produces formulas that can be inserted into Writer documents. Install only the modules required for your work if you want to keep the application list uncluttered.

Choosing formats that travel well

ODF is LibreOffice’s native family of open formats: .odt for text, .ods for spreadsheets and .odp for presentations. It is a sound long-term choice for files that remain within the LibreOffice ecosystem. Microsoft Office formats are usually the safer option for active collaboration with organisations using Microsoft 365 or Google Workspace. A practical rule is to keep the master document in ODF and create an exchange copy in the recipient’s requested format.

Fonts can cause problems even when the file format is supported. If a document relies on a commercial typeface that is absent from your system, Writer may substitute another and alter line lengths or page breaks. Install fonts you are legally permitted to use, keep them updated, and choose widely available alternatives for templates shared across several offices. PDF export can reduce this risk by embedding the fonts where the export options allow it.

Co-authoring usually works best through a platform designed for it, such as the browser versions of Google Docs or Microsoft 365. LibreOffice can open and save those files, but simultaneous editing of a local .docx can create conflicts or overwrite earlier changes. Use numbered versions, descriptive filenames and a consistent archive location. Australian organisations handling government or regulated information should also use an approved storage platform and retention policy; editing a file in LibreOffice does not by itself make its storage or sharing method compliant.

Updating and troubleshooting the suite

Maintain the installation route you selected. AppCenter can notify you of available updates, APT uses the normal elementary OS update process, and a Flatpak installation is refreshed with:

flatpak update org.libreoffice.LibreOffice

Running sudo apt update followed by sudo apt upgrade updates APT-managed software, including LibreOffice, but may also upgrade other packages. Review pending changes when using it on a work machine. Security updates are important for office software because documents can contain complex fonts, formulas, embedded objects and macros that attackers may target.

If LibreOffice fails to start, first check for a running background process and try the built-in recovery mode with soffice --safe-mode. The soffice --version command confirms whether the executable can at least load. Corrupt user settings sometimes cause persistent failures; back up ~/.config/libreoffice/4/user before resetting the profile, and keep a copy of any custom dictionaries, templates or macros stored there. A file that will not open may also have been given the wrong extension, so check its actual format before converting it.

For regional work, remember that Brisbane remains on AEST while Sydney and Melbourne move between AEST and AEDT, and Adelaide sits 30 minutes behind those eastern states. Check meeting times and timestamps across distributed teams rather than assuming one national clock. Connection quality can vary beyond metropolitan NBN coverage, so allow for mobile or fixed-line interruptions and retain local working copies before relying on cloud synchronisation. Protect documents with strong passwords, avoid enabling unexpected macros, and maintain an independent backup of irreplaceable files.

LibreOffice is a capable office suite on elementary OS because it combines local formats, familiar Microsoft Office compatibility and several dependable installation routes. Its reliability depends on consistent choices: use one update source, set the Australian locale before entering data, select formats according to the recipient, and preserve editable originals.

The rule to remember is straightforward: configure first, exchange deliberately, update regularly and always keep a recoverable copy.
